About the Role

Over the past few years, Desktronic has been growing rapidly — and we’re continuing to scale. With this growth comes a growing need for sharp, reliable operational support that keeps our office running without friction and our team focused on what they do best.
We are looking for an Office Administrator who is equally comfortable managing day-to-day office operations, coordinating with suppliers and vendors, and supporting colleagues across departments. This role is ideal for someone who is naturally organised, takes ownership of their tasks, and finds satisfaction in making things work smoothly behind the scenes.
In this role, you’ll have the opportunity to become a central part of our operations, build your skills across a wide range of administrative functions, and grow alongside a company that is expanding across Europe.

What you’ll do

  • Coordinate business travel arrangements for team members — covering transport, accommodation and all related administration from start to finish.
  • Manage office access systems, including issuing and ordering access cards and maintaining an accurate register of active cardholders.
  • Oversee office parking and storage allocation, ensuring organised and fair use across the team.
  • Place and manage office grocery and supply orders, and prepare regular snack baskets to keep the team fuelled throughout the day.
  • Order and maintain adequate stock levels of office stationery and supplies, anticipating needs before they become issues.
  • Organise employee training sessions end-to-end — sourcing providers, handling bookings, coordinating schedules and supporting on-the-day delivery.
  • Process and upload incoming invoices via our document management system, ensuring correct filing and timely handling.
  • Oversee company phone billing, conduct monthly invoice reviews and coordinate new device orders as required.
  • Act as the first point of contact for the office — welcoming visitors, contractors and couriers at reception, managing sign-in procedures, and handling office maintenance issues by logging requests, following up with vendors and proactively suggesting improvements to the working environment.
  • Prepare workstations and IT equipment for new starters, ensuring everything is set up and ready before their first day.
  • Support onboarding logistics for new employees — coordinating induction schedules, welcome materials and access to tools and systems.
  • Manage relationships with external service providers including cleaning companies, couriers, catering and facility vendors.
  • Assist with internal communications — drafting announcements, reminders and updates to keep the team informed on office matters.
  • Support the coordination of company events, team lunches and off-site activities.
  • Help maintain internal databases, contact lists and shared document libraries, keeping information accurate and easy to find.

What you’ll bring

  • Strong organisational skills and attention to detail — you stay on top of multiple tasks at once and follow through without being chased.
  • Good written and spoken communication skills in Lithuanian and English.
  • Confidence working with MS 365 tools, in particular Outlook, SharePoint and Teams.
  • A proactive, self-managing approach: you identify what needs doing and get it done.
  • A friendly, collaborative attitude and the willingness to suggest improvements as the company continues to grow.
  • Experience with document management systems or invoicing platforms is an advantage, but not required.
